Surgeons must be entered in the Physician Dictionary and must be marked as Providers and Scheduling Resources before you begin to create preference cards. It is suggested (but not required) that you also indicate their specialty in the physician dictionary to enable you to create and search for preference cards by specialty. The Specialties Dictionary is a system-built dictionary and is supplied by Amkai fully loaded.
Anesthesiologists should be designated as a scheduling resource and associated to the specialty Anesthesiology with a Scheduling role of Anesthesiologist.
CRNAs should be designated as a scheduling resource and associated to the specialty Certified Registered Nurse Anesthetist with a scheduling role of CRNA. .
When you build a preference card, you have the opportunity to associate a surgeon’s preferences to the card, including his/her choices of staff in the roles of Scrub Nurse and Circulating Nurse. Staff for these roles must be entered into the Staff Dictionary.
When a preference card is built, at least one procedure must be added to it. Procedures must be activated in the Procedure Dictionary to be available to be added to preference cards.
The type of anesthesia generally used for a procedure or group of procedures may be assigned to the preference card. The anesthesia type will automatically be pulled to the scheduling grid at time of scheduling and then into the Clinical Documentation Management (CDM) module when the preference card(s) is loaded if it has been associated to the preference card. This default may be edited for a specific patient if necessary within the appointment. There is also an option to search by cards with a specific Anesthesia Type when using the Preference Card Tools to modify cards. To complete this dictionary, add the anesthesia types that will be used in the facility along with a quick code for each. You may also select a color to be associated to the anesthesia type.
Supplies, medications, implants, equipment, and instruments will need to be entered in the Supply Resource Dictionary in order to be available for selection on a preference card.
Supplies can be added to a Preference Card as single resources, or as Trays. Supply and Instrument trays should be added to the Tray Dictionary. Items entered here will be the trays that would be constructed in the facility using supplies or instruments that have been entered as individual line items in the Supply Resource Dictionary. If you purchase trays from your supply vendor as complete “units,” you may choose to enter them as a supply rather than as a tray. When trays are depleted, the system will display the individual items that are on the tray so that only the items used are removed from the tray. If your trays are used fully for each case, then it may be best to identify them as a supply resource rather than as a tray.
