Dunning Message Guidelines
While performing the steps to set dunning rules, keep in mind the following:
- Criteria is Business Entity (BE) specific. A Dunning Rule only applies to the BE in which it was created.
- Each Dunning Rule must be unique. The system will not allow you to save duplicate Dunning Rules.
- Insurance Carrier, Type and Classification are based on the Primary insurance associated to the latest Date of Service charged on the patient statement.
- Dunning messages are applied based on the age of the charges or the age of transfer of responsibility for payment to the patient, depending on the selection made when the patient statement is generated in the Financial Management Module. See Generating Patient Statements.
- Dunning Rules are applied by the system in the order in which they are listed in the Dunning Rules section of the configuration screen. You can change the order using the up and down arrows in this section. Be sure to put the highest level of specificity first. The message assignment criteria are listed in order of specificity on the configuration screen.
Example:
-
- If you want to assign generic messages for 30, 60, 90 days as well as specific messages to accounts that have Medicare as the Primary Insurance, create the Dunning Rules for Medicare first as Carrier is the first message assignment criteria listed on the configuration screen.
- The system will look first to see if the account has Insurance Carrier PI = Medicare on the most recent charges posted.
-
- If yes, the Medicare specific message will be applied
- If no, the 30, 60, 90 day generic message will be applied.
- If the first Dunning Rule entered is set as Insurance 'Any' or Selected (detail field blank) then the message that is specific to Medicare would never be assigned, as the account already was assigned a messaged based on aging.
- If a dunning rule applies to an account, the dunning message will print on the statement (no matter what statement layout is chosen) unless the user unchecks the Include Dunning Message box on the Statement Options page. See Generating Patient Statements.
